Export a signed offer to another system

Once a customer signs an offer, push the deal straight into your accounting, CRM, or project-management tool, so the record exists in your back-office system without retyping anything.

When an offer is signed, the Finalise view gives you a set of Send to… buttons in the actions sidebar. Each one hands the signed deal off to a connected external system: your accounting tool (Lexoffice, Sevdesk, Bexio), your project-management tool (Hero), a PV mounting-system planner (K2 Base), or a quoting or ERP system (Photovate, WeClapp). This page explains how the export works and where each destination goes. The per-destination pages cover the specifics. CRM systems like HubSpot and Bitrix work differently: they sync automatically when a request is created, so they are not Send-to buttons. See the note below.

Before you start

  • Sign the offer first. The Send-to buttons appear once an offer is signed, so signature is what unlocks the export.
  • Connect the destination first. An admin connects it under Settings > Company settings > Integrations, and its button then appears on the sidebar for your workspace. See Set up the connection below.
  • You need editor-or-higher rights to trigger an export once the integration is connected.
Note: To get a lead into another system before signature, use a CRM connector that syncs on request creation (HubSpot, Bitrix, Pipedrive). It covers the lead stage while the export buttons cover the signed deal.

Export a signed offer

  1. Open the signed offer and go to the Finalise tab.
  2. In the right-hand actions sidebar, find the Send to [system] button for your destination.
  3. Click it. Reonic transfers the offer's line items, prices, tax rates, and customer details to the connected system.
  4. The button shows a pending state, then updates to Sent with the destination's record number, usually with a deep link.
Pro tip: Every export is a manual, per-offer click. If you want each signed offer to be sent onward automatically, connect a Zapier workflow that runs when an offer is signed.

Where each destination goes

  • **Lexoffice** — DE cloud accounting — Quote / invoice from the offer
  • **Sevdesk** — DE cloud accounting — Quote / invoice from the offer
  • **Bexio** — CH accounting — Quote + invoice from the offer
  • **WeClapp** — ERP — A sales order
  • **Photovate** — Solar quoting / design — The offer options
  • **Hero** — Field / project management — A project record + signed PDF
  • **K2** — PV mounting-system planning (K2 Base) — A K2 Base import link

Set up the connection

Exports work once the destination is connected in Settings > Company settings > Integrations (admin only). The setup guides are grouped by when the connector runs:

  • Accounting + project tools (Send-to buttons, run after signature): Lexoffice, Sevdesk, Bexio, Hero, K2, Elektroform, PDS.
  • Quoting / ERP tools (Send-to buttons, run after signature): WeClapp, Photovate.
  • CRM connectors (sync automatically on request creation, not a Send-to button): HubSpot, Pipedrive, Bitrix.

Things to know

  • Signature is the trigger. The hand-off happens once, when the offer is signed. Completing the installation later, or issuing the Reonic invoice, leaves it untouched.
  • Retry on your terms. If the destination system is unreachable when you click, the export does not complete. Click Send to… again once it recovers.
  • Each export is independent. Sending to Lexoffice doesn't send to your CRM. Click each destination you need.
  • Country fit matters. Some destinations do useful work only in their home market (Lexoffice and Sevdesk in DE, Bexio in CH), so they show up on the sidebar where they're active for your workspace.
