Reonic

WhatsApp assistant AI feature

Reach your Reonic data from WhatsApp: look up a customer, create a task, take a note, or send photos to a project without opening the Portal or the app.

Half the questions that come up in a day — what's this customer's address, whose job is this, did anyone note that call — are thirty seconds of work and a two-minute detour to a laptop. The WhatsApp assistant removes the detour. You message it the way you'd message a colleague, and it answers from your Reonic data.

It is for your own team. Homeowners and customers never message it.

Before you start

  • The assistant is switched on per workspace. If the WhatsApp settings page says it isn't available, ask your admin or your Reonic contact.
  • Verify your own phone number. Each person verifies their own; the assistant recognises you by the number you message from.
  • One number, one person. A number that's already verified against someone else's account can't be verified again.

Verify your phone

  1. In the Portal, open User settings > WhatsApp.
  2. Enter your number in international format, such as +49 170 123 4567.
  3. Save. A verification code is sent to you.
  4. Enter the code.

That's it — message the assistant from that phone and it knows who you are.

You can remove your number later from the same page. Removing it stops the assistant recognising you; it doesn't delete anything you did.

Note

If you message from a number that isn't on any profile, the assistant replies with a link to the setup page rather than ignoring you. If your number is on your profile but not yet verified, it links you to the verification step instead.

Your first message

Right after verification the assistant sends you a welcome message: a short how-to video, a greeting by name, the email on your account so you know it's the right one, and three tappable buttons — Create task, Find contact and Open project.

Tapping a button sends it as though you'd typed it, which is the easiest way to start. Or ignore them and just write — "find Schmidt-Hauser", "what can you do?", "show my overdue tasks".

The welcome message arrives once. If you missed it, send Help or Hilfe for the same tour.

What you can ask it

Send Help at any time and it describes what's available to you. It answers from what your role can actually reach, so the reply is specific to you rather than a fixed list.

Find things — "find Müller", "address of Schmidt-Hauser", "open project Mustermann", "show my projects", "show my overdue tasks".

Create things — create a task in plain language and it works out the assignee and the due date ("call Petra Müller tomorrow at 5pm"). Take a note against a customer or project, dictated or typed. Create a contact. Send a photo or PDF with a caption naming the project and it's filed there.

Look things up — ask for a project's status and you get the same digest the Portal sidebar shows. Ask for pricing and you get the sale price with the module, inverter and battery breakdown.

Change things — move a project to its next stage or a named one, assign or unassign colleagues, set the key account manager, edit a contact, log time against a project, and undo a file you just uploaded.

Calendar — list, create, move, update and delete events. It shows you what it's about to do and waits for you to confirm.

Invoices — draft, issue, void, email an invoice and set its payment status, where your workspace has the invoicing module. Line items, due dates and contact details stay in the Portal.

Pro tip

Write the way you'd write to a colleague, not the way you'd fill in a form. "Ring the Müllers Thursday about the roof survey" works; you don't need to name fields or follow a syntax. When it's unsure it asks rather than guessing.

Working across several companies

If you work across more than one Reonic workspace, you're asked which one you're in when you first message, because your phone is tied to you rather than to a company.

Send switch_client to change, or logout to end the session. Up to ten workspaces are supported on one number.

Things to know

  • It's internal. Homeowners and customers never talk to this assistant. It's your team's line into Reonic.
  • It sees what you're allowed to see. The assistant works within your role and permissions; it can't reach anything you couldn't reach in the Portal.
  • Some capabilities depend on your workspace. Time logging needs time tracking; invoicing needs the invoicing module and a supported billing country. If you ask for something that isn't enabled, it says so.
  • Confirm before it changes anything significant. Calendar changes and similar actions are previewed for you to approve.
  • Photos need a caption naming the project, otherwise it doesn't know where to file them.
  • Check what it did. It's a fast way to record something in the field; it's still worth glancing at the result in the Portal for anything that matters.
  • Brazilian workspaces can check grid-registration progress through the assistant, including stages and deadlines.
