Project status digest AI feature

Get a few sentences on where a project actually stands, and one suggested next step, without reading back through the tasks, notes and activity history yourself.

Before a call, you want to know where a project is. The information exists — it's spread across the status, the open tasks, the calendar, the file requests, the notes and the activity log — and assembling it takes five minutes you don't have while the phone is ringing.

The project status digest does that assembly. It reads the project and gives you a short narrative plus one recommended next action, chosen for the phase the project is actually in.

Before you start

  • It's available on every project. Open a project and the digest sits in the sidebar.
  • Generating needs an Editor role or higher. Viewers can read a digest someone else generated, but can't create one.
  • It works on residential and commercial projects.

Generate a digest

  1. Open the project.
  2. Find the Project summary widget in the sidebar.
  3. Click Generate.
  4. Wait a few seconds.

You get two things: a short narrative of where the project stands, and one recommended action. The time it was generated is shown underneath.

Once generated, the digest is cached, so opening the project again shows it immediately rather than regenerating.

Keeping the digest current

The digest is a snapshot of the moment you generated it. It does not update itself when the project moves.

Click Generate again whenever you need a current read — after a status change, a customer call, a new task, or anything else material. The new digest replaces the old one.

Pro tip

Regenerate immediately before the conversation, not the evening before. The most common way a digest misleads is by being accurate about last Tuesday, and it looks equally confident either way. The timestamp under the text is the thing to check first.

If a digest is more than about a week old it may have been cleared, and the widget shows Generate again.

What it reads

The digest is built from the project record, not from anything outside it:

  • The phase the project is in, and its status.
  • The offer's state, including signature dates where they exist.
  • The next few open tasks, by due date.
  • The next few calendar events.
  • Outstanding file requests.
  • The most recent notes.
  • Recent activity on the project.

It reads a limited number of each — the most recent and most imminent — so a project with fifty open tasks is summarised from the next few, not all of them.

The recommended action is chosen for the phase. A project in the offer phase gets an offer-phase suggestion; an installation-phase project gets an installation one.

Ask for it in WhatsApp

Where your workspace uses the WhatsApp assistant, you can ask it for a project's status directly and get the same digest, generating one if none exists.

Things to know

  • It's a summary, not a source. The digest is for orientation before you look properly. Anything you're about to tell a customer, check on the project itself.
  • It only sees what's recorded. A conversation nobody wrote down doesn't reach the digest. Projects with sparse notes produce thin summaries — accurately so.
  • The recommended action is a suggestion. It's generated from the project's phase and state, and it doesn't know what you agreed with the customer last week.
  • It's internal. The digest never appears in the customer portal, on an offer PDF, or in the signature flow. The homeowner doesn't see it.
  • Only the latest digest is kept. Regenerating replaces the previous one, and there's no history.
  • Viewers can't regenerate. If you only have view access and the digest is stale or missing, ask a colleague with Editor access, or ask the WhatsApp assistant.
  • The sidebar is Portal only. There's no digest widget in the mobile app; the WhatsApp route is the mobile answer.
