Company details — your legal, contact, and registration info

Set the legal name, address, contact email and phone, registration and tax IDs (including your **VAT-ID**), and the legal-document URLs that flow onto your offer PDFs, invoices, and customer-portal pages. Your **logo and brand colours are set during onboarding and changed by your Reonic account manager** — they aren't edited on this page.

The Company details page is your workspace's legal, contact, and registration profile: the company name, address, contact details, register and tax numbers, and the privacy / imprint / terms URLs that appear on customer-facing artifacts Reonic generates. It's distinct from your personal user profile (under My User > Profile) and from your Reonic subscription / payment details (under Licenses & Billing).

Note: What is not on this page: your logo, your brand colours, and any custom CSS are part of your visual branding, which Reonic sets up during onboarding and your account manager changes for you. There's no self-service control for them here. Your interface language is a per-user setting in the top navigation bar, not a company-wide field. See the sections below for how each is handled.

Before you start

  • You need the Admin role to open and edit Company details. The page is admin-only — Editors and Viewers don't see it in the Settings menu at all.
  • Have your details ready: registered legal name, business address, contact email and phone, your commercial-register number and court (Handelsregisternummer + Registergericht, for DE), your tax number (Steuernummer) and VAT-ID (USt-IdNr), and the URLs for your homepage, privacy policy, imprint, and general terms.
  • Changes apply to future-generated artifacts. Updated legal/contact details flow onto offers, invoices, and portal pages generated after you save. Already-issued PDFs stay as they were at issue time.

Open the Company details page

  1. Click Settings in the left sidebar of the Portal.
  2. Choose Company settings > Company details.

If you can't see Company details in the menu, you don't have the Admin role. Ask your workspace admin or your Reonic account manager.

Edit your company details

The page is a single form. Edit the fields you need and click Save. The editable fields are:

  • Company / legal name — your registered company name. Appears in PDF footers and in the company-name variable used by email templates.
  • Address — street and number, postcode, city. Used on offer PDFs and customer-portal pages. (The country is shown but not editable here; it follows your workspace locale.)
  • Contact email — your workspace's customer-facing email. It appears on customer-facing communications and is typically the reply-to address customers use.
  • Phone — your business phone, used on offer PDFs and portal pages.
  • Commercial-register number + register court — manual fields; type them in.
  • Tax number (Steuernummer) and VAT-ID (USt-IdNr) — both editable here. The VAT-ID also appears on invoices via your issuing details (see Things to know).
  • Legal-document URLs — your homepage, privacy policy, imprint, and general terms links, used on customer-facing surfaces.
Pro tip: Changing the contact email here updates the reply-to address on customer-facing mail. To send mail from your own domain instead, set up Custom SMTP under Settings > Company settings > Integrations > SMTP Mail Server; your account manager can help you get the domain authentication right.

Which "company name" appears where

The name customers see can come from more than one place — know which to edit:

  • The legal name in PDF footers and the company-name email-template variableCompany / legal name (this page) — Email body, certain PDF footers
  • The legal-entity name that issues invoices / credit notes / supporting documents**Issuing-details company name** (Settings > Company settings > Invoicing > Issuing details) — Invoice / credit-note PDFs
  • The short workspace name shown in the Portal header — Set during onboarding — changed by your Reonic account manager — Portal UI, customer-portal greeting

There's no separate self-service "workspace display name" field on this page. If the legal name and the issuing-details name should match, set them identically.

Note: Issuing-details name changes apply going forward. Once an invoice is Issued, its PDF stays as it was at issue time — the name on it doesn't change. Later edits affect only documents issued afterward.

Logo and brand colours — set up by Reonic

Your logo and brand colours are part of your workspace branding, applied to offer PDFs, the customer portal, outbound-email headers, and your landing pages. They're configured during onboarding (when your workspace is set up) and changed by your Reonic account manager afterward. There's no logo-upload or colour-picker control on the Company details page.

To add or change your logo or brand colours, contact your Reonic account manager with the new asset (a transparent PNG or SVG, ideally ≥600px wide, so it renders crisply on offer-PDF covers). New branding applies to future-generated artifacts; already-issued PDFs stay as they were.

Interface language — a per-user setting

Each user sets their own interface language in the language selector in the top navigation bar (top-right of the Portal); it applies immediately for that user only. There's no company-wide language field on this page. For more on personal settings, see the Manage your Reonic user profile guide.

Advanced branding (custom CSS, custom domains)

Custom CSS overrides and a custom customer-portal domain are set up with your account manager. The customer-portal URL stays on Reonic's domain.

Sending your customer-facing email from your own domain is the one piece you can turn on yourself: enable Custom SMTP under Settings > Company settings > Integrations > SMTP Mail Server (your account manager can help you get the domain authentication right). Until you do, mail sends with your contact email as the reply-to.

Email templates and cooperation-partner branding

  • Email templates (subject lines, header images, body copy for the messages Reonic sends) are configured on a separate Settings page — see the Customise email templates guide.
  • Cooperation-partner branding (a branding swap on the residential lead-capture landing page, for joint campaigns) is set up separately with your account manager — see Apply cooperation-partner branding. It's residential only.

Things to know

  • Company details is your legal/contact/registration record, not a branding page. The editable fields are the legal name, address, contact email and phone, register number and court, tax number, VAT-ID, and the four legal-document URLs.
  • Your VAT-ID is editable here (and also surfaces on invoices through your issuing details). You don't have to go to Invoicing to set it.
  • Logo, brand colours, and custom CSS are set up by Reonic. Reonic sets them at onboarding and your account manager changes them.
  • Interface language is per-user, set in the top navigation bar.
  • Already-issued PDFs stay as they were. Offers, invoices, and credit notes carry whatever details were active at issue time.
  • Company info lives across three pages: Company details (this page — customer-facing legal/contact info, register number, VAT-ID), Settings > Company settings > Invoicing > Issuing details (the legal name + bank details on invoices you issue), and Settings > Company settings > Licenses & Billing (the billing address for your own Reonic subscription). They can diverge; keep them consistent unless you have a reason not to.

Where do I edit my company's legal name, address, register number, and VAT-ID? All on this page — Settings > Company settings > Company details. The register number (Handelsregisternummer) and register court are manual fields; the tax number and VAT-ID (USt-IdNr) are also here.

How do I change my company email address? Open Settings > Company settings > Company details, edit the Contact email, and save. This sets the reply-to address on customer-facing mail. Can I use a custom domain for the customer portal, or send email from my own domain? A custom portal domain is set up through your account manager. Sending customer-facing email from your own domain is self-service: enable Custom SMTP under Settings > Company settings > Integrations > SMTP Mail Server (your account manager can help with the domain authentication).

Where do I change the billing data for my Reonic subscription? That's separate — Settings > Company settings > Licenses & Billing holds the billing address for the invoices you pay Reonic. Company details holds your customer-facing info; Invoicing > Issuing details holds the legal name + bank details on the invoices you issue to your customers.
