Invoicing (tool) — settings & setup
Configure the Invoicing module once: issuing details, VAT regime, document number prefixes, tax basis, and bank/QR-code payment. This is the **Settings** side — the how-to of *creating* each document type lives under [Deep Dive › Invoicing](../../deep-dive-invoicing/overview.md).
The Invoicing tool turns a signed offer into a numbered, locked, PDF invoice. Before anyone can create a document, an admin configures the module here — in Settings > Company settings > Invoicing. Before you start
- Your issuer country must be supported. Invoices, partial invoices, and credit notes can be issued from 13 places: Germany, Austria, Switzerland, France, the UK, Jersey, plus the seven French overseas territories (Martinique, Guadeloupe, Réunion, Saint-Martin, Saint-Barthélemy, Saint-Pierre-et-Miquelon, French Guiana). Outside this set, the Invoice, Partial invoice, and Credit note options don't appear. Supporting documents — offer confirmations, purchase orders, delivery notes, and letters — are available everywhere.
- Configuring Issuing Details is an Admin task. Until it's done, the module keeps document creation locked and sends your team to this settings page to finish setup.
Set up Issuing Details
Issuing Details is the one-time admin setup that unlocks the whole module. Until it's filled in, your team sees a prompt on the create screen: "You have to set your company information before creating any documents and review the document prefixes & number circles."
- Open Settings > Company settings > Invoicing > Issuing Details.
- Enter your issuer info: company legal name, address, VAT number, and registry details.
- Pick the country of issuance. This drives the VAT regime applied to every document — the number-prefix format, the legal-text variant (DE Kleinunternehmer flag, FR TVA mention, UK CIS), and the PDF template.
- Set your document number prefixes (for example
INV-for invoices,PA-for advance payments). These become part of every number you issue, likeINV-2026-0042. - Pick your tax basis: Accrual (VAT due on the invoice date) or Cash (VAT due on the payment date). This applies to every document with no per-document override.
- Add your bank account details, and optionally configure QR-code payment for scan-to-pay.
- Save.
Note: Document number prefixes are a one-way decision in practice. Once you've issued invoices with a prefix, changing it creates a confusing audit trail. Pick deliberately.
Pro tip: If you trade under one name but invoice under a different legal entity, the issuing-details company name is the legal issuer that appears on documents — separate from your customer-facing branding in Company details.
What the tool produces
The Invoicing module creates six document types, each numbered from the prefixes you set above: Invoice, Credit note, Offer confirmation, Purchase order, Delivery note, and Letter. Configuration (numbering, VAT regime, tax basis) is shared across all of them. For the step-by-step of creating and issuing each, use the Deep Dive guides:

Configuration reference
- VAT is country-driven. The country of issuance you picked in Issuing Details sets the VAT regime: the number-prefix format, the legal-text variant, and the PDF template. Switching the country changes the regime, and documents already in flight keep the regime they were issued under. The rate itself is set per line at document time, defaulting to your country's standard rate (19% in DE).
- Tax basis is a setup-time choice. You pick Accrual or Cash in Issuing Details. To change it later once you're issuing documents, contact your Reonic account manager.
- Currency is set at document creation — from the offer on the fast path, or from your workspace defaults when you start from scratch.
- Payment is bank-transfer. Each document carries an IBAN plus an optional EPC QR code for scan-to-pay. The customer pays you directly; you mark the document paid in Reonic.
- To create a document, open the Invoicing tab in the Portal navigation and follow Issue and manage a full invoice. This page is the one-time configuration that unlocks it.
