Manage your Reonic licenses and subscription invoices
View your Reonic subscription invoices, update payment details, buy or return licenses, and adjust the billing contact your team sees on their receipts.
The Licenses & Billing page is where you manage the commercial relationship between your company and Reonic: your subscription, how many user seats you're paying for, your payment method, and the invoices Reonic issues to you. Invoices you issue to your own customers live separately under Invoicing. This page covers the Reonic-side subscription only.
Before you start
- You need the Admin role. Regular users and viewers don't see the Licenses & Billing page.
- Decide which license family you need before buying: Collaborator Residential (residential PV / heat-pump / storage / wallbox projects) or Collaborator Commercial (commercial / business projects). They're counted separately.
- Have your company's payment details handy if you're adding or switching a method: bank IBAN for SEPA direct debit, or a credit card for card-on-file.
- Know your headcount. Count active users in Settings > Company settings > Users & Teams before buying licenses so you provision the right number of seats. You keep paying for a seat until you return it.
Open the Licenses & Billing page
- Click Settings in the left sidebar.
- Choose Company settings.
- Open Licenses & Billing.
You'll see two main blocks: the billing portal link at the top (your invoices, payment method, and billing contact) and the license list below (what you're currently paying for, broken down by family).
View and pay your Reonic invoices
The Open and current invoices link opens Reonic's hosted billing portal. There, you can:
- View all past invoices and download PDFs for your accounting team.
- Find any overdue invoice and pay it directly from the portal.
- Update your payment method: switch between SEPA direct debit and credit card, or replace an expiring card.
- Update your billing contact: the company name, address, VAT ID, and email that appear on your receipts.
This portal lists every invoice Reonic has issued to your company, each as a downloadable PDF. The Invoicing area inside Reonic is a separate place: that area is for invoices you send to your own customers.
Pro tip: Set up SEPA direct debit if you're a German or EU customer. It removes the pay-every-time step and keeps your payments on schedule. A credit card works too, and you can update it in the portal before it expires.
See an overdue invoice
If an invoice is overdue (a payment didn't go through, or the card on file expired), the billing portal flags it at the top with a "pay now" prompt. Settle it there. If a payment fails, you can retry it from the portal. To keep your access uninterrupted, pay any outstanding invoice promptly, and reach your account manager if you expect an issue.
Understand the license families
Reonic distinguishes two license families on your account:
- Collaborator Residential — full collaboration in the residential product line (homeowner PV / heat-pump / storage / wallbox).
- Collaborator Commercial — full collaboration in the commercial / business product line. This is the Gewerbelizenz in German.
Both grant the same kind of access (create requests, plan offers, sign, hand off to installation). They're counted separately because pricing differs between residential and commercial.
One license covers one user. If two people need access, buy two licenses.
Pro tip: You can start with residential seats only and add commercial seats once you're actively quoting commercial projects, so you only pay for capacity you use.
How much does a Commercial (Gewerbe) license cost?
The Collaborator Commercial license is priced to your own agreement rather than a public list price. When you buy, the purchase dialog shows the exact charge before you confirm. To see your own rate: open Settings > Company settings > Licenses & Billing, start a license purchase, pick Collaborator > Commercial, set the seat count, and the dialog shows the invoice preview for that change. For a formal quote outside the buy dialog (for example a larger seat upgrade), contact your account manager.
Viewer licenses
If Viewer licenses are available on your account, those seats are read-only, useful for stakeholders (an accountant, a partner, a sub-contractor) who need to see project data without creating or editing it. Viewer seats are priced lower than Collaborator seats. Talk to your account manager if you'd like Viewer licenses and they don't appear in your buy flow.
Unassigned licenses
Just above the license list, you see how many licenses you currently have unassigned (paid for but not handed to a specific user). You're already billed for these, so put them to work. You can assign them to a user, or return them before the next billing cycle (see Return a license below).
Buy new licenses
- In the paid-licenses section, click Add a license. The Purchase licenses drawer opens.
- Choose the role: Collaborator (full edit, for users with the Editor or Admin role) or Viewer (read-only, for users with the Viewer role).
- Choose the access: Residential or Commercial. Some accounts also offer a combined seat. The families available to you are selectable.
- Under Number of licenses, enter how many seats to add.
- Review the invoice preview — it shows the before and after monthly amount plus the prorated charge for the rest of the current billing period.
- Click Accept license change to confirm.
The new licenses appear in the list immediately and are billable from today, prorated against your current billing cycle. Assign them to users from Settings > Company settings > Users & Teams.
The buy dialog's invoice preview is effectively your quote for smaller changes. For larger ones (a bigger seat upgrade, a plan change), contact your account manager for a formal quote.
Pro tip: Buy in small batches. You can always add more, and that keeps unused paid seats off your bill. Start with one per active team member and grow as you hire.
Return a license
If a team member leaves, or you over-provisioned, return the license to stop paying for it. Confirm the seat is actually unused first. The license list shows the assigned user per license.
- In the paid-licenses list, find the unused license row you want to return.
- Open the row's `…` action and choose to return the license.
- The Confirm license return dialog opens with Your invoice preview, showing the credit that will apply.
- Click Accept license change to confirm.
The cost is pro-rated against your next invoice, crediting the unused remainder of the current billing period. The user the license was assigned to keeps their account and workspace membership; their access to license-gated features pauses until you assign them another license. To remove the person entirely, do that separately from Settings > Company settings > Users & Teams.
You return licenses one at a time, so if you're decommissioning a large team, plan a few minutes for the click-through.
Note: Returns have a contractual-minimum floor. You can't drop a license type below the minimum seat count agreed when your subscription was set up. To go below the floor, contact your account manager.
Pro tip: Return licenses before the monthly billing cycle ends to maximise the proration credit. Returning on the last day of the cycle refunds little; returning at the start gives you back most of the month.
Update your payment method
The payment method lives in the billing portal (linked from the Licenses & Billing page).
- Click Open and current invoices to open the billing portal.
- Find Payment methods.
- Add a new card or SEPA mandate, then set it as the default.
- Remove the old method if you no longer want it on file.
Reonic uses whichever method is marked default for the next invoice. There's no per-invoice override.
Change your billing contact
The name, address, VAT ID, and email shown on your Reonic invoices come from the billing portal.
- In the billing portal, find Billing information or Company details.
- Update the company name, billing address, VAT ID (Umsatzsteuer-ID for German companies), and billing email.
- Save. Future invoices use the new details. Past invoices stay as-is.
Pro tip: The billing email is where invoice notifications are sent. Point it at your finance inbox (for example accounting@your-company.com) rather than a personal address, so notifications keep arriving as your team changes.Change your Reonic plan
The license list shows individual seats, and your overall plan is managed alongside it. To change the plan itself, for example unlocking a new feature bundle or moving from monthly to annual billing, contact your account manager. Annual billing comes at a discount on some plans; ask your account manager which applies to you.
Things to know
- This is the Reonic-to-you billing layer, not the you-to-your-customer layer. Invoices you send to your own customers live in Invoicing and use whatever accounting integration you've configured (Lexoffice / Bexio / Sevdesk / Pingen).
- Removing a user is a separate step from returning their license. Do both: remove the user from Settings > Company settings > Users & Teams, and return their license from the Licenses & Billing page, so you stop paying for the freed-up seat.
- License returns are pro-rated; plan changes follow their own timing. Your account manager confirms the timing for a plan change.
- The invoicing module is part of the standard subscription. There's no separate fee to issue invoices, and no per-document or per-send charge. You can issue as many invoices, partial invoices, credit notes, and order confirmations as you need. Connecting a third-party accounting integration (Lexoffice / Sevdesk / Bexio / Weclapp) adds no Reonic-side fee, though the third-party tool may carry its own subscription billed by that provider.
- Add-on modules bill separately. Commercial seats, the planning service, and white-label add-ons bill on top of the standard subscription per your add-on contract, and their invoices appear in the same billing portal alongside your base subscription.
- Your billing cadence and contract dates come from your contract. Open the billing portal from Settings > Company settings > Licenses & Billing to see the exact periods on your invoices. The Welcome / onboarding session is part of the standard setup and doesn't delay your billing; your first regular invoice arrives per the cadence in your contract. If your plan includes a specific allowance (for example a planning-service quota), your account manager confirms it.
- Bank transfer is available on request for annual contracts in some markets. The default is SEPA direct debit (Lastschrift in DACH) or card-on-file via the hosted billing portal; talk to your account manager to arrange bank transfer. If a SEPA debit issue comes up (a failed debit, a mandate not on file, a closed account), the billing portal flags it with the step to fix it. Update the mandate there and payment is retried on the next cycle.
- Your account manager confirms your contract dates rather than showing them as a countdown on this page.
- A wrong charge is corrected for you. Contact your account manager with the invoice number and an explanation, and Reonic corrects it directly.
- If your access is paused for non-payment, you can still open the billing portal to settle the outstanding invoice. Once you pay, access is restored. Reach your account manager if access doesn't restore within an hour of payment.
