Task templates + labels

Administer your task-template library and label taxonomy in Settings > Tasks > Task Templates & Labels, then apply them day-to-day from CRM > Tasks.

This page covers the administration side of tasks: building the template library and curating the label set so the whole organisation stays consistent. Day-to-day work (creating, assigning, and completing tasks) happens on the CRM > Tasks page. This page focuses on governance: scoping templates to the right level and keeping labels tidy.

Manage task labels

Task labels are a shared taxonomy for your workspace, each with a colour and text. Use them to categorise tasks consistently across the organisation.

  1. Open Settings > Tasks > Task Templates & Labels and go to the Company wide tab.
  2. Create a label with its text and colour.
  3. Keep the set lean. Labels work best when everyone draws from the same small, agreed taxonomy.
Note: Task labels apply to tasks only. They are a separate system from project tags and file tags, so a task label stays on tasks and will not appear as a project tag or a file tag.

Manage task templates

Templates capture a reusable task shape so recurring work does not get re-typed each time. They live at two scopes, which appear as two tabs:

  • Company wide — shared across the organisation.
  • Personal — private to your own account.
  1. Open Settings > Tasks > Task Templates & Labels.
  2. Choose the Company wide or Personal tab to set the template's scope.
  3. Create a template and fill in its fields: title, description, checklist, labels, relative due date, and an optional default assignee or team.
  4. Click Save.
Pro tip: Use the relative due date so the due date is calculated from when the task is created, rather than pinned to a fixed calendar date. That is what makes a template reusable.

When someone applies a template, it clones into a fresh task carrying the title, description, checklist, and labels. Assignees and due dates are set per task afterwards, so the template stays reusable.

Templates on the Mobile App

The same templates are available when you create a task on the Mobile App, not just in the Portal. The picker presents them in two groups:

  • Company — the shared templates everyone in the organisation can use.
  • User — your own personal templates.

These are the mobile-facing names for the same two scopes the Portal shows as Company wide and Personal. Pick one and the rest of the flow matches the Portal: it clones into a new task with the template's title, description, checklist, and labels.

Things to know

  • Template edits apply to future tasks. Tasks already created from a template keep their original shape; only tasks created after the edit pick up the change.
