Set up time-tracking categories
Define the colour-coded categories your team picks when logging time: Travel, On-site, Office, plus any custom ones you want.
Time-tracking categories, shown in the picker as event types, are the colour-coded labels that appear in the Tracking Type column of every time entry. They give you something to filter on when you slice hours for payroll prep, and they keep your team consistent about what counts as on-site work, office work, or travel.
Who this is for
Admins who configure your organisation's time-tracking categories. Everyday users pick from the categories when logging time but don't define them.
Before you start
- Time tracking is turned on for your organisation. If the Time tracking page isn't in your Settings sidebar, an admin can turn it on under Settings > Company settings > Features, or contact your Reonic account manager.
- You have the Admin role.
What you get out of the box
When time tracking is on, four categories are set up for you as a starting point:
- **Travel Time** — Blue — Driving or commuting between sites
- **On-site Work** — Green — At the customer's location
- **Office Work** — Purple — Planning, admin, phone calls
- **Other** — Amber — Catch-all
Rename them, recolour them, reorder them, archive the ones you don't need, and add your own. The defaults are just a starting point.
Add a new category
- Open Settings > Organization > Time tracking.
- Choose to add a new category (also labelled event type).
- Enter a Name that's short and recognisable, in your working language (for example Trade-show day, Customer support, or Apprentice training).
- Pick a Colour. It's used as the swatch in the entry list and in the Event Type filter dropdown.
- Click Save. The new category appears in the Event Type picker on every entry drawer and modal.
Rename or recolour a category
- Open Settings > Organization > Time tracking.
- Select the category you want to change.
- Edit its Name or Colour.
- Click Save. Existing entries that use this category keep it. Only the label and swatch refresh.
[!note] Renaming a category updates the label on every entry that already uses it, including historic ones. If you want to keep a record of what a label used to be, rename with care.
Reorder categories
- In the category list, set the order you want.
- The new order carries through to the Event Type picker your team uses.
Archive a category you no longer use
- Select the category and choose Archive.
- The category is hidden from the picker on new entries. Existing entries already tagged with it keep their tag, so your history stays intact.
Archiving keeps the category recoverable, so you can restore it later from the archived view.
Things to know
- Categories are shared across your organisation. Every user in your workspace sees the same set. They aren't per-team or per-user.
- Tagging an entry with a category is optional. A user can save an entry without picking one, and the Tracking Type column stays blank for that row.
- Categories are a filter on the Time Tracking list. Use Event Type in the filter row to slice the view (for example, just on-site hours this month) before exporting to Excel, where you run the per-category analysis in your spreadsheet or payroll tool.
