WhatsApp Assistant

Run Reonic from WhatsApp: send voice memos that file themselves, manage tasks and leads from chat, and retrieve project data on the go.

The WhatsApp Assistant is a personal WhatsApp contact connected to your Reonic workspace. You send it voice memos, texts, and photos, and it creates and updates records in Reonic for you. It is the fastest way to capture data while you are on the road or on site.

What the WhatsApp Assistant can do

  • Create offers, requests, notes, and tasks by voice memo or text
  • Capture technical data on site: consumption, electricity price, heating system, building details
  • Send photos that file themselves to the right project
  • Pre-plan a system from your component catalogue
  • Check calendars, find free slots, and book installation appointments
  • Fill site-documentation checklists and ask what is still missing
  • Query your pipeline: offers by status, priority, or idle time

Connect WhatsApp to Reonic

Every user connects their own number. The connection takes about two minutes.

  1. Open Settings in the Portal
  2. Add your mobile number
  3. Verify the number with the code you receive
  4. Open WhatsApp and message your new Reonic Assistant contact
Note: The assistant cannot be added to WhatsApp groups. Each user has a personal assistant, and WhatsApp removes business contacts from groups automatically.

Save the assistant as a contact

WhatsApp does not include business contacts in the chat search by default. Save the Reonic Assistant to your phone contacts once, and you can find it in the search at any time.

Voice memos that file themselves

Speak what you would otherwise type. A single voice memo like "Create a new offer for Jane Doe, Hauptstrasse 12 in Falkensee, and add a note that she wants PV and storage" creates the contact, the offer, and the note in a few seconds. The project also shows the route and travel time to the customer address.

The same works for the data you collect in a consultation. Speak the electricity consumption, the price per kilowatt hour, the heating system, the annual gas consumption, the building year, and the number of occupants, and the assistant writes everything to the correct fields on the project.

Manage tasks and leads from chat

Ask the assistant to create a task, assign it to a colleague, and set a due date, all in one message. The assistant looks up who exists in your team and confirms once the task is created. Updating leads and offers works the same way: change a status, add a note, or attach what the customer told you on the phone.

Send photos to the right project

Documenting the meter cabinet, the installation locations for inverter, battery, and heat pump, or the roof works directly from the chat.

  1. Tap the photo button in the chat
  2. Take or select your photos
  3. Send them to the assistant

Photos file themselves to the project you are working on in the chat. If you send a photo without context, it lands in My files, and you assign it later or tell the assistant where it belongs.

Send photos in batches of ten

Up to ten photos at a time upload reliably. Wait for the confirmation that everything is uploaded, then send the next batch. Photos are large files, and very large batches slow the processing down.

Pre-plan a system by voice

Tell the assistant what the customer wants, for example a 10 kW system with an 8 kWh battery and a wallbox. The assistant scans your component catalogue, picks matching components, and creates a quick planning on the offer. If the customer wants a specific manufacturer, name it, and the assistant plans with those components. If something is not in your catalogue, it tells you.

Note: The assistant creates a quick planning without a roof layout. For module placement and the final design, open the project in the planning area.

Check calendars and book appointments

Ask which appointments and tasks are due today or this week. The assistant reads the Reonic calendars you have access to, including connected Google and Microsoft calendars.

Scheduling works the same way. Ask for free full-day slots for your installation team in the next 21 days, and the assistant checks every relevant calendar and lists the available days. Confirm, and it books the slot. Everyone on the team sees the appointment in their calendar.

Fill site-documentation checklists

During installation you can complete checklist items from the chat instead of the Portal. Even more useful on site: ask what has not been documented yet for the project, and the assistant returns the open items.

Keep an overview of your pipeline

When the board gets full, ask instead of filtering. List all offers in a status, ask which offers have the highest priority right now, or find offers with no assignee that nobody touched in the last ten days.

Start the day with one question

Ask every morning which appointments the week holds and which tasks matter most. One voice memo replaces a round of clicking through boards and calendars.

Things to know

  • The assistant respects your Reonic permissions. What you cannot open in the Portal, you cannot reach through the chat.
  • The more colleagues capture data with it on site, the less follow-up work remains. Everything documented in the first visit is on the project, so nobody has to call the customer again for a missing detail.
  • The WhatsApp Assistant is included with your Reonic account. If you cannot connect your number, contact your Reonic account manager.
