Work with Kanban boards and lists
Learn how to use Kanban boards and list views to manage your projects as they move through requests, offers, and installations. Includes filtering, searching, and creating new projects.
Kanban boards help you organize and track projects as they move through your sales pipeline from initial request to final installation. This guide shows you how to use boards and list views to manage your workflow efficiently.
Finding Your Kanban Boards
Kanban boards are located in three main menu sections: Requests, Offers, and Installations.
- Click on Requests, Offers, or Installations in the left sidebar
- The Kanban board opens automatically
- You'll see columns representing different stages of your workflow
Understanding Kanban Columns
Each Kanban board is organized into columns that represent different stages. These columns can be customized in your settings to match your workflow.
You can move projects between columns by dragging and dropping cards from one stage to the next. This makes it easy to update project status as work progresses.
Switching Between Kanban and List Views
You can view your projects in two ways: Kanban board or list view.
To switch views:
- Look at the top-right corner of the screen
- Click the Kanban or List toggle button
- Your projects will display in the selected format
List view shows the same information in a table format, which can be easier for scanning large numbers of projects.
Pro tip: The view toggle works the same way in Requests, Offers, and Installations—choose whichever format works best for your current task.
Searching for Projects
The search bar at the top of the board helps you quickly find specific projects.
What you can search for:
- Project or offer name
- Customer email address
- Full or partial address
- Postal code
- Other project details
Simply type into the search bar and results appear instantly.
Filtering Your Projects
Filters help you narrow down what you see on the board, making it easier to focus on specific projects.
Available filters:
- Project status (e.g., signed, pending)
- Assigned user (projects assigned to specific team members)
- Created by (who created the project)
- Team (filter by team)
- Creation date (when the project was created)
- Last edited date (when the project was last updated)
Click the filter options at the top of the board and select your criteria. Multiple filters can be combined to create a more specific view.
Pro tip: Filters are persistent—once you set them, they stay active until you change them. This lets you create a personalized view that shows only the projects relevant to you.
Creating New Projects
You can create new requests, offers, or installations directly from the Kanban board.
- Look at the top-right corner of the screen
- Click the New Offer, New Request, or New Installation button (depending on which board you're viewing)
- Fill in the project details in the form that appears
Note: Each board type (Requests, Offers, Installations) has its own 'New' button for creating projects at that stage.
Other Ways to Add Projects
While you can create projects manually using the 'New' button, there are other ways to get projects into the system:
- Import projects from external sources
- Automated integrations with other tools
- API connections for direct data transfer
These options help streamline your workflow when dealing with leads from multiple channels.
